How to creating Fancy Reports with NetSuite?



NetSuite Reporting Features 

NetSuite's reporting capabilities allow you to get real-time insights into the operational and financial performance of all business functions, and provide fully customizable pre-built standard reports. The following tips will help you master the basics of using standard reports, custom reports, and building new reports in NetSuite to accurately obtain the data needed to enhance your business.

 

1. Using Standard Reports

Easily access pre-built reports from the "Report Dashboard" located in the top menu. You can expand and collapse available reports by category to view the list of available reports. You can also use the "Expand All" and "Collapse All" links. In the "Expand All" view, you can use your browser's highlight feature (CTRL-F on PC; CMD-F on Mac) to highlight report names on the page for easy searching.

 

Report Alerts

For reports that take some time to generate, you can utilize the "Alert me when ready" feature. When you click this link, it will load a snapshot of the report in the background while you continue to handle other tasks in NetSuite. Once the report is ready, an email alert will be sent to you with a link to the report results.

Scheduling Reports

You can schedule reports to run on a one-time or recurring basis, and you can also send the reports via email to a list of recipients. Under "Scheduled Reports," you can access "Report Results" and "Report Scheduling" and arrange for specific reports to run regularly. For example, schedule a balance sheet report to run at the end of the month and automatically distribute it to the CFO. You can also schedule large reports to run during off-peak hours to save performance load during the day.

Summary and Detail Views

Many reports come paired with "Summary" and "Detail" views. The Summary view displays aggregated information, while the Detail view shows information at the individual transaction level. You can click on individual fields to delve deeper into specific transactions, items, or entity records.

Filters

You can filter report information based on date ranges, subsidiaries, and grouping contexts. NetSuite retains your date and auxiliary filter options when you reopen a report. Use dynamic date filters, such as "This Month" and "This Fiscal Year," to automatically update the data range over time.

Tools

The Tools grid allows you to update the report title, collapse or expand groups by level, or view information in bar charts.

Export Options

 

There are four main methods to export reports:

· Download as Excel, PDF, CSV, or Word

· Print the report

· Email the report

· Schedule the report to run daily, weekly, monthly, or annually

2. Customizing Reports

You can easily customize reports by changing or modifying pre-built standard reports. Although you can build completely custom reports, it is recommended to modify existing reports rather than starting from scratch.

· Report Builder. Use the Report Builder to customize any standard report. Select the appropriate standard report as your starting point. Then add, move, and delete fields as needed. You can set properties and modify date ranges, groupings, etc. When you customize a summary report, its associated detailed report is not affected. You can create a custom summary and a custom detailed report and link them in the Report Builder.

· Edit Columns. You can add, remove, or rearrange fields by selecting fields from the available data sources in the left panel. The data source includes standard and custom record fields.

· Alternative Date Ranges. To compare values between two date ranges, set an alternative date range on a numeric column to display results for a period different from the report's date range.

· Formula Fields. Use formula fields to perform comparative analysis between columns. Select a formula and choose columns for variables X and Y. Note that only numeric columns can be used in formula calculations.

· Groups and Subgroups. Use this feature to display the report as a series of groups or subgroups. You can group results by one or more values, such as industry type and company size.

· Filters. The Filters section provides filtering options to narrow down the scope of data results. Create user filters to allow users to flexibly select the data to be displayed.

· Sorting. Define fields to sort your reports. You can sort multiple levels in ascending or descending order.

· More Options. Customize additional options under the More tab. Other options are shown in the example screenshot.

 

3. Creating New Reports


If pre-built or customized reports do not meet your needs, you can build a new report.

· Identify the report's data. First, select a pre-built report and choose the data you want to copy. Reports are built as (Measure Data Source X: Field X) BY (Component Data Source Y: Field Y). For example: "Purchasing: Vendor Amount: Name."
